As a travel planner, keeping track of your sales and commissions is vital for your business success. The ability to track travel agent commissions efficiently can make a significant difference in your financial management and goal-setting. Luckily, our CRM Travel Joy offers a comprehensive solution to help you stay on top of your earnings and expected payouts.

As always I encourage you watch the Traveljoy instructional videos here for deeper dives on everything TJ.

Accessing Your Commission and Sales Reports in Travel Joy

The first step in tracking your commissions is knowing where to find your reports. Travel Joy makes this process straightforward:

  1. Log into your Travel Joy account

  2. Navigate to the "Reports" section

  3. Select "Commissions and Sales" from the available options

Once you're in the Commissions and Sales dashboard, you'll see a comprehensive overview of your financial data. You can filter reports by different time periods, such as all-time, this month, or next month. This flexibility allows you to analyze your performance over various timeframes.

One of the most useful features is the ability to break down your commissions by supplier. This information can help you identify which partnerships are most profitable for your business and where you might want to focus your efforts in the future.

How to Add and Track Travel Agent Commissions in Travel Joy

Now that you know how to access your reports, let's dive into the process of adding and tracking individual commissions:

  1. Go to the "Files" section in Travel Joy

  2. Select the relevant invoice for the trip

  3. Click on "Edit an Item" within the invoice

  4. Look for the "Commission" section

In the Commission section, you'll find several fields to fill out:

  • Supplier Type: Choose the relevant supplier from the dropdown menu

  • Booking Date: Enter the date of the booking (if known)

  • Commission Split: Input your commission percentage if you're working with a host agency

  • Expected Commission Date: Add the date you anticipate receiving the commission

  • Total Commission: Enter the total commission amount from the supplier

Travel Joy will automatically calculate your share of the commission based on the split you've entered. This feature is particularly helpful for travel agents working with host agencies, as it provides clarity on expected earnings.

Managing Multiple Commissions Within a Single Invoice

Often, a single trip may involve multiple components with different commission structures. Travel Joy allows you to manage these complex scenarios effectively:

  • For package deals, add the commission details to the main package price item

  • For additional services (like excursions or add-ons), create separate line items and add commission details to each

  • Ensure accuracy by double-checking all price and commission entries

By breaking down your commissions this way, you'll have a clear picture of your earnings from each aspect of the trip, helping you identify which elements are most profitable for your business.

Best Practices for Commission Tracking for Travel Professionals

To make the most of Travel Joy's commission tracking features, consider these best practices:

  1. Update your commission reports regularly to maintain accurate records

  2. Review your reports frequently to stay on top of expected and received commissions

  3. Clear received commissions in the system promptly to avoid confusion

  4. Use commission data to set and track sales goals

  5. Don't rely solely on host agencies for tracking - maintain your own records

FAQ (Frequently Asked Questions)

If I don't log a commission in TJ will I get paid?

Yes. Although we will have no way to record it properly, 99% of the time we're able to figure out who's commission it is, log it on our end, and pay it. If ever we have a commission without a home we send out a group email about it. Traveljoy is just a ledger. It doesn't actually effect your commission.

When are commissions paid?

Most suppliers pay 30 days after travel. Sometimes, that might hit at an odd time (let's say the 3rd of the month), meaning right after we just did a distribution on the 1st of the month. This will wind up making it paid out the next month.

How often should I update my commission information in Travel Joy?

It's best to update your commission information as soon as you receive confirmation of a booking or payment. Regular updates, at least weekly, will help maintain accurate records.

Can I track commissions for group bookings in Travel Joy?

Yes, you can track commissions for group bookings. You'll need to adjust the commission details at the invoice level, similar to individual bookings.

What if I don't know the exact commission amount when creating an invoice?

You can leave the commission fields blank initially and update them later when you have the correct information. Travel Joy allows you to edit invoice details at any time.

How can I use the commission data to improve my business?

Use the data to identify your most profitable suppliers and products. This information can guide your marketing efforts and help you focus on high-yield partnerships.

Is the commission information visible to my clients?

No, the commission information you enter in Travel Joy is for your internal use only and is not visible to your clients.
