New Visa Requirements for American Travelers to the EU and UK: What You Need to Know

Writer's picture: JessJess

Hey there, Jess travel planners! With the ever-evolving travel landscape, it's crucial to stay updated to guide our clients smoothly. If your clients are planning trips to Europe in the coming years, they'll need to be aware of new travel authorization requirements for both the European Union (EU) and the United Kingdom (UK).

Here's the lowdown:

What's Changing for the EU?

Starting in 2025, U.S. citizens traveling to EU countries within the Schengen Area will need an ETIAS visa waiver. ETIAS stands for European Travel Information and Authorization System. It's not a full visa—think of it as a quick security check before travel.

Cost: €7 (about $8) for adults aged 18-70. Children and seniors are exempt.

Application Process: Online, taking approximately 10 minutes.

Validity: Three years or until the traveler's passport expires, whichever comes first.

Note: The official ETIAS application portal isn't live yet. We'll keep you posted once it's available.

What About the UK?

The UK is introducing its own system called the Electronic Travel Authorization (ETA), which will be required by January 8, 2025, for U.S. travelers. This applies to England, Scotland, Wales, and Northern Ireland.

Cost: £10 (roughly $12).

Application Process: Online, designed to be quick and straightforward.

Validity: Multiple visits over a two-year period.

Note: The official UK ETA application portal isn't live yet. We'll update you as soon as it's available.

How to Prepare Your Clients

Apply Early: Encourage travelers to apply as soon as they start planning. While approvals are typically quick, it's best to avoid last-minute surprises.

Check Passport Expirations: Ensure passports have at least six months of validity beyond planned travel dates.

Stay Organized: Keep digital copies of the ETIAS or ETA confirmations. While linked to the traveler's passport, having proof can provide peace of mind.

Educate on Costs: Remind clients to use only official government websites to avoid third-party fees or scams.

Why These Changes?

The EU and UK aim to enhance border security and streamline traveler experiences. These systems are designed to screen visitors before arrival, reducing risks and potential delays at immigration.

As travel planners, it's our role to anticipate these changes and help clients navigate them effortlessly. If you have any questions or need assistance explaining this to a client, feel free to reach out. Our goal is to keep travel simple and enjoyable, even with these additional steps.

Can I do this for my client?

Yes, you can. I would probably have them do it themselves to avoid any liability here. But if you must, follow the steps below:

European Travel Information and Authorization System (ETIAS):

  • Authorization Requirement: To apply for ETIAS on behalf of a client, both you and the client must sign a declaration of representation. This document authorizes you to compile and submit the ETIAS application on their behalf.

  • Application Process:

    • Official Platform: Submit the application through the official ETIAS website or mobile app.

    • Client's Email: Use the client's personal email address for the application to ensure they receive all communications directly.

    • Data Accuracy: Share a copy of the draft application with your client before submission to confirm all information is correct.

  • Documentation: Keep a copy of the signed declaration of representation for your records, and advise your client to do the same.

United Kingdom's Electronic Travel Authorization (ETA):

  • Application Process:

    • Official Platform: Applications can be submitted via the UK ETA app or online.

      GOV.UK

    • Client's Email: Ensure the client's personal email address is used in the application to facilitate direct communication.

    • Data Accuracy: Review the application details with your client to verify all information is accurate before submission.

Important Considerations:

  • Client Consent: Always obtain explicit consent from your clients before handling their personal information and submitting applications on their behalf.

  • Avoiding Scams: Be cautious of unofficial websites or third-party services that may charge excessive fees or misuse personal data. Always use official government platforms for applications.

  • Fee Transparency: Inform your clients about the official application fees and any additional service charges you may apply for handling the process.
